Privacy Policy

Your trust matters - here's how we protect your information

Overview

Look, we get it - privacy policies can be a real pain to read through. But here at Dreadforge Chronos, we're straight shooters. We've been working on engines and building relationships since day one, and that means being upfront about how we handle your info.

This policy lays out what data we collect when you visit our shop or use our website, what we do with it, and how we keep it safe. We're not in the business of selling your information - we're in the business of making your ride perform like it should.

Quick Note: By using our services or website, you're agreeing to this privacy policy. If something doesn't sit right with you, let's talk about it.

Information We Collect

We're pretty straightforward about what we need from you. Here's the breakdown:

Personal Contact Details

When you book an appointment or reach out to us, we'll need the basics - your name, phone number, email address, and sometimes your mailing address. Can't really call you about your car being ready without a phone number, right?

Vehicle Information

We keep records of your ride - make, model, year, VIN, mileage, service history with us, and any modifications we've done. This stuff's crucial for tracking what we've worked on and planning future services. Plus, when you roll in with that '68 Charger for the third time, we remember exactly what ECU tune we programmed last visit.

Payment & Billing Data

Gotta get paid somehow - we collect payment info, billing addresses, and transaction history. Don't worry though, credit card processing happens through secure third-party systems. We never actually see or store your full card details on our end.

Website Usage Info

Our website collects some technical stuff automatically - IP addresses, browser type, pages you visit, how long you hang around. Standard web analytics that help us figure out if our site's working properly or if it's loading slower than a seized engine.

How We Use Your Information

We're not collecting data just for kicks. Here's what we actually do with it:

  • Service Delivery: Schedule appointments, perform repairs, call you when parts arrive, send reminders about that timing belt that's due soon.
  • Communication: Answer your questions, send quotes, follow up after service. Sometimes we'll shoot you maintenance tips relevant to your specific vehicle.
  • Business Operations: Process payments, maintain service records, handle warranties, manage inventory for your custom parts orders.
  • Legal Compliance: Keep records for tax purposes, warranty claims, and meeting Canadian automotive service regulations.
  • Improvement: Figure out what services you're into, improve our booking system, make our website less annoying to use.

When We Share Your Data

We're not in the business of selling customer lists. However, there are a few situations where we gotta share some info:

Service Partners

Sometimes we work with specialized suppliers, parts manufacturers, or other shops for unique jobs. They only get what they need to do their part.

Payment Processors

Secure payment companies handle transactions. They've got their own strict security standards and privacy policies.

Legal Obligations

If the law requires it - court orders, government requests, that sort of thing. We'll comply with valid legal processes.

Business Transfers

If we ever sell the business or merge with another shop, your records would transfer to keep service continuity.

Security Measures

We take protecting your data as seriously as we take torque specs. Here's what we do:

Digital Protection

Our systems use encryption, secure servers, firewalls, and regular security updates. Website traffic runs through SSL encryption - that's the little padlock in your browser.

Physical Security

Paper records are locked up. Our shop has security cameras and restricted access to the office area where customer files are kept.

Staff Training

Our team knows the deal about customer privacy. Only folks who need access to your info for legitimate work reasons can see it.

Real talk though - no system's 100% bulletproof. We do our absolute best, but we can't guarantee total security. That's just being honest.

Cookies & Tracking Technologies

Our website uses cookies - not the edible kind, unfortunately. These are tiny files that help the site remember you and work properly.

What We Use:
  • Essential Cookies: Make the booking system work, keep you logged in, basic functionality stuff.
  • Analytics Cookies: Tell us which pages people visit, where folks are getting stuck, site performance metrics.
  • Preference Cookies: Remember your settings so you don't have to re-enter everything each visit.

You can disable cookies in your browser settings, but heads up - some parts of the site might not work right if you do.

Your Rights

Under Canadian privacy law (PIPEDA specifically), you've got some solid rights regarding your personal info:

Access

Request a copy of what personal data we have about you.

Correction

Fix any inaccurate info we've got on file.

Deletion

Ask us to delete your data (with some legal exceptions).

Opt-Out

Unsubscribe from marketing emails anytime.

Portability

Get your data in a usable format to take elsewhere.

Object

Challenge how we're using your information.

To exercise any of these rights, just reach out to us. We'll respond within 30 days max, usually way faster.

How Long We Keep Your Data

We don't hang onto your info forever. Here's our general approach:

Data Type Retention Period
Service & Vehicle Records 7 years after last service (legal requirement for warranty purposes)
Financial Records 7 years (Canadian tax law requirement)
Marketing Data Until you unsubscribe or 3 years of inactivity
Website Analytics 26 months
General Contact Info While you're an active customer, plus 2 years

After these periods, we securely delete or anonymize the data. Sometimes we're legally required to keep stuff longer - we'll let you know if that applies.

Policy Changes

We might update this policy from time to time as our business evolves or laws change. When we make significant changes, we'll let you know via email or a notice on our website. Last thing we want is to surprise anyone with policy changes.
